ADVERTISING POLICY


2007-2008 Advertising Forms are available in PDF format. Forms include the 2008 CATESOL Statewide Conference, CATESOL Newsletter, CATESOL Journal, and information for regional and chapter conferences.


I. Function

CATESOL solicits and accepts advertising for which a fee is charged at its conferences and in its publications: for the following reasons:
  1. To inform members and conference participants of new publications, software, and instructional materials and of professional development opportunities directly related to TESL
  2. To inform members and participants of any resource centers
  3. To interact and cooperate with publishers who attend our conferences to learn the latest trends/ideas in research and incorporate those trends fairly quickly into new texts.
  4. To expand member services by generating non dues revenue through advertising and other corporate support which may offset the price of conferences and publications.

II. Type of Advertisers

Advertising is restricted to that submitted by publishers, (including self publishers), and academic institutions. Specifically excluded are other types of advertising, such as that by travel agents, insurance companies. CATESOL will not accept advertising from publishers that is inconsistent with mission and policy.

III. Advertising space

Advertising space is allocated in such a way as to try to give maximum exposure to the greatest number of advertisers while maintaining quality and integrity of CATESOL publications. However, consideration may be given to advertisers who have consistently adhered to catesol's advertising policy and have paid their bills in a timely manner.

IV. Recommended procedures re. advertising at conferences and in publications

To help publishers’ plan and budget better and to reduce repetitive efforts of CATESOL’s volunteers, a committee consisting of the advertising chair (+ two other Board members) is to let all potential advertisers know of sponsoring and advertising opportunities upfront in a professionally presented package containing:
  2. Development of a checklist for the advertising liaison including such points as:
  3. Sponsorship (advertising) rates must be set so that CATESOL doesn’t bear any sponsorship costs.
  4. Contracts, which may be a memorandum of understanding, should contain an agreement which gives CATESOL review and approval rights to all promotional materials (copy & art) produced in support of the program (e.g. fliers, ads, direct mail)
  5. If fliers are included, they must state: Paid advertising. Acknowledgment of other sponsorship could thank the publisher for underwriting certain costs, e.g. the mailing, the production of fliers.
  6. CATESOL’s acceptance of an advertisement does not constitute endorsement or approval of any product or service being promoted and no advertisement will be accepted that expresses or implies CATESOL endorsement.
  7. There must not be any unreasonable restraint of trade or exclusivity reserved for one publisher. A special position in a publication or flier will be on a first come, first serve basis, with priority given to the first publisher whose request to have advertising included arrives. However, advertising space is limited and may fill prior to reservation deadline
  8. If an agency offers assistance, financial or otherwise (e.g. space, rooms, printing), the agency may be listed as a co-sponsor of a CATESOL conference or workshop. However, CATESOL must clearly be indicated as the primary sponsor of the event (e.g. through type size, location in list of sponsors) and maintains control of the event. Agencies may include colleges, school districts, Boards of Education and professional organizations. Publishers may also be noted as a co-sponsor with their contribution to the event clearly indicated on all conference fliers and materials.
  9. CATESOL members must be informed that advertising efforts have expanded.
  10. The recommendations above refer mainly to printed advertising, fliers, etc. Conference committees require flexibility re. other kinds of sponsorship such as: bags, coffee, pencils, social events, pens, pads, etc. However, such sponsorship must still be consistent with CATESOL’s mission and the general principles in this policy and should follow the guidelines for disclosure.

V. Specifics concerning contracts or letters of intent

  1. CATESOL will invoice advertiser for all requested typesetting, paste-up, and corrections
  2. Cancellations must be submitted in writing and confirmed by CATESOL one month prior to the reservation deadline for the particular event, Newsletter issue or Journal to withdraw without penalty.
  3. Invoices due and payable in 30 days. No agency discounts are allowed. CATESOL will hold both the advertiser and the agency liable for all payments due.
  4. Prices are subject to change.
  5. CATESOL shall not be liable for any costs or damages if for any reason it fails to publish an advertisement.
  6. Advertising and their agents agree to indemnify and protect CATESOL from all claims, actions, or expenses arising from advertising placed in CATESOL publications.
